Tent Rental Cost in DFW: What to Budget for Your Outdoor Event
Tent rental pricing in the Dallas–Fort Worth area varies widely depending on tent size, tent type, and how many add-ons you include. This guide gives you real numbers so you can budget confidently.
Tent Rental Price Ranges in DFW (2025–2026)
Prices below are for tent-only rental. Delivery, setup, tables, chairs, and linens are quoted separately.
| Tent Size | Type | Price Range |
|---|---|---|
| 20×20 (400 sq ft) | Frame tent | $350–$550 |
| 20×40 (800 sq ft) | Frame tent | $600–$900 |
| 30×30 (900 sq ft) | Pole tent | $650–$950 |
| 30×60 (1,800 sq ft) | Pole tent | $1,100–$1,600 |
| 40×60 (2,400 sq ft) | Pole tent | $1,500–$2,200 |
| 40×80 (3,200 sq ft) | Frame tent | $2,200–$3,200 |
| 20×40 | Sailcloth | $1,400–$2,000 |
| 40×60 | Sailcloth | $3,500–$5,500 |
Sailcloth tents command a premium because of their translucent fabric, elegant peaked silhouette, and the natural light they let in.
What Drives the Final Price?
Tent size is the biggest cost driver. Every 10 feet of additional length adds roughly 30–40% to the base price.
Tent type matters significantly. Sailcloth and clear-span structure tents cost 2–3× more than standard frame or pole tents. Frame tents are the most versatile for uneven terrain and don't require center poles.
Ground surface can add cost. Installing over a concrete or deck surface requires frame tent construction and weights instead of stakes, adding $150–$400.
Add-ons that significantly increase the total:
- Sidewalls: $75–$200 per section
- Flooring/carpet: $1.50–$4 per square foot
- Lighting package: $300–$1,200
- Climate control (fans/AC): $500–$1,500 per unit
- Installation on sloped ground: $200–$600 surcharge
Realistic Total Budgets by Event Size
Backyard birthday party (50 guests):
20×30 frame tent + delivery + setup = $600–$900 all-in
Outdoor wedding reception (100 guests):
40×60 pole tent + delivery/setup + basic sidewalls = $2,000–$3,000 tent only. Add tables, chairs, linens for a complete package of $5,000–$8,000.
Corporate event (200+ guests):
40×80 or 60×80 frame tent with flooring, lighting, and climate control = $8,000–$18,000+
How Far in Advance Should You Book a Tent in DFW?
Spring (March–May) and fall (September–October) are peak season in North Texas. For weekend events during these months, book 6–10 weeks in advance. Summer bookings (outdoor events beat the heat with evening timing) should be reserved 4–6 weeks out. Holiday events in November and December book quickly — reserve by October.
